Job Description

  Receptionist/Administration Role:
- Manages the company’s lobby area to ensure that reception area is safe, well clean and tidy.
- Greets and directs all visitors, including vendors, clients, job candidates and customers appropriately.
- Maintain security by following procedures: monitoring visitor’s log book and visitors’ cards handling by security guards
- Handles incoming calls by answering or referring inquiries to the right staff.
- Handle mail distributions and ensure all mails reach recipients on timely manner.
- Manage stationery, pantry supplies and as well as electricity consumption in office.
- Assist administrative staff by handling other tasks
- Meeting room and board room booking reservation if staff need support and keep tracking monthly meeting room usage
- Maintain and monitor & record all the Visitor Access Cards usage and send monthly report to Senior executive, Health and Safety and Security to ensure all Visitor Access Card are not lost
- Manage cleaners in order to maintain cleanliness in all office areas and pantry and restrooms
- Doing other tasks assigned by line manager.
1. Executive Assistant to EXCO members:
- Making appointment and meeting
- Facilitate documents for CFO, HRO, CMO and CRO’s signature
- Application/booking of travel arrangements
- Obtaining Expat visas and assisting work permits process (annual health check-up at MOL)

2. Assisting with department administration for Finance and HR:
- Flight booking, Visa extend, courier
- Check with supplier for detail information (pricing, document needed, how to process)
- Process all documents to supplier, follow up with supplier regarding the status (in progress, pending, finish)

Job Requirements

  Experience/Skill:
• Finished bachelor’s degree of Business Administration or certificate of Administration or secretary to business or organization with at least two years experiences in the related fields.
• Good telephone skills, verbal communication, listening professionalism, customer focus, informing others, handles hygiene in office
• Good at Microsoft Office applications (Word, Excel, PowerPoint)

Knowledge:

 Positive working attitude and accuracy of work
 Strong communication
 Willing to work under pressure
 Very energetic and passionate to learn new things
 Ensures timeliness, accuracy of report submitted to stakeholders
